These Terms of Use ("Terms") govern your access to and use of the Epic Teams website, chat tools, and related services made available by Epic Logistics LLC, doing business as Epic Teams ("Epic Teams," "we," "us," or "our"). By accessing or using the site, you agree to these Terms.

If you use the site on behalf of a school, athletic department, team, or other organization, you represent that you have authority to bind that organization to these Terms.

Services

Epic Teams provides travel-planning support, hotel research, hotel quote outreach, scheduling assistance, and related informational services for athletic teams and organizations. Unless we separately agree in writing, information provided through the site is for planning and coordination purposes only and does not itself create a hotel reservation, travel booking, agency relationship, or guarantee of availability, price, or suitability.

Eligibility

You must be at least 18 years old and able to form a binding contract to use the site. The site is intended for adult representatives of organizations, not children under 13.

Account and Session Tools

Some features may use local browser storage or session identifiers to maintain chat history and service continuity. You are responsible for maintaining the security of any device you use to access the site.

Your Information and Content

You may submit schedules, contact information, messages, hotel preferences, and other content ("Submitted Content") through the site. You retain whatever ownership rights you already have in Submitted Content, but you grant Epic Teams a worldwide, non-exclusive license to host, store, reproduce, modify, and use Submitted Content as needed to operate, improve, and provide the service to you.

You represent and warrant that:

  • you have the right to provide Submitted Content and authorize us to use it for the service;
  • Submitted Content is accurate to the best of your knowledge;
  • Submitted Content does not violate any law or third-party right; and
  • you will not provide highly sensitive information through the public site unless we specifically request a secure method.

Acceptable Use

You agree not to:

  • use the site for any unlawful, fraudulent, or harmful purpose;
  • interfere with or disrupt the operation or security of the site;
  • attempt to gain unauthorized access to any part of the site, accounts, or systems;
  • scrape, crawl, reverse engineer, or otherwise extract site content or underlying models except as permitted by law;
  • submit viruses, malicious code, spam, or abusive content; or
  • use the site to build or train a competing service using our content or outputs without our written permission.

AI-Generated and Third-Party Information

The site may use AI systems, live web search, and third-party providers to generate suggestions, hotel lists, call summaries, and travel-planning outputs. These outputs are provided for convenience and may contain errors, omissions, or outdated information. You are responsible for reviewing and independently verifying hotel availability, pricing, policies, venue details, and any other important information before acting on it.

Hotel Quote Calls and Bookings

If you instruct Epic Teams to place an automated hotel quote call, you authorize us to share the relevant trip details with the hotel and our call providers for the limited purpose of requesting availability and pricing information. Quote calls are for information only. Unless we separately confirm otherwise in writing, Epic Teams does not finalize or guarantee a reservation through the public chat experience.

Fees and Separate Agreements

If we offer paid services, managed booking services, or custom arrangements, those services may be governed by a separate proposal, statement of work, invoice, or written agreement. If these Terms conflict with a separately signed agreement, the signed agreement controls for that service.

Intellectual Property

The site, including its design, text, graphics, branding, software, and other content, is owned by or licensed to Epic Teams and is protected by applicable intellectual property laws. Except for the limited right to use the site in accordance with these Terms, no rights are granted to you.

Third-Party Services

The site may link to or rely on third-party services, including hotel websites, mapping tools, email, hosting, databases, AI providers, search services, and telephony providers. Epic Teams is not responsible for third-party services, and your use of them may be subject to separate terms and privacy notices.

Disclaimer of Warranties

To the maximum extent permitted by law, the site and services are provided "as is" and "as available" without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the site will be uninterrupted, error-free, secure, or that outputs will be accurate, complete, or fit for your needs.

Limitation of Liability

To the maximum extent permitted by law, Epic Teams and its officers, employees, contractors, affiliates, and service providers will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenues, data, goodwill, or business opportunities, arising out of or related to the site or these Terms. To the maximum extent permitted by law, our total liability for all claims arising out of or relating to the site or these Terms will not exceed the greater of $100 or the amount you paid us for the specific service giving rise to the claim during the 12 months preceding the event giving rise to liability.

Indemnification

You agree to defend, indemnify, and hold harmless Epic Teams and its officers, employees, contractors, affiliates, and service providers from and against claims, liabilities, damages, judgments, losses, costs, and expenses, including reasonable attorneys' fees, arising out of or related to your Submitted Content, your misuse of the site, or your violation of these Terms or applicable law.

Suspension and Termination

We may suspend or terminate your access to the site at any time, with or without notice, if we believe you have violated these Terms, created risk for us or others, or if we decide to discontinue the site. Provisions that by their nature should survive termination will survive, including ownership, disclaimers, limitations of liability, indemnity, and dispute-related provisions.

Governing Law and Venue

Unless applicable law requires otherwise, these Terms are governed by the laws applicable in the state of Epic Logistics LLC's principal place of business, without regard to conflict-of-laws rules. Any dispute arising from or relating to these Terms or the site must be brought exclusively in the state or federal courts with jurisdiction over that location, and each party consents to that forum.

Changes to These Terms

We may update these Terms from time to time. The updated Terms will be posted on this page with a revised "Last updated" date. By continuing to use the site after updated Terms become effective, you agree to the revised Terms.
